What Will You Do in This Role?
The Medicaid Pending Compliance Assistant provides critical administrative and operational support to the Medicaid Pending Compliance Manager in overseeing pending Medicaid accounts for multiple Skilled Nursing Facilities (SNFs). This role helps ensure timely and accurate processing of Medicaid applications, assists with follow-ups, maintains organized documentation, and facilitates communication between facilities, families, and Medicaid agencies.
Key Responsibilities:
- Assist with tracking and maintaining Medicaid Pending reports for assigned SNF facilities.
- Follow up with facility Business Office Managers, Social Workers, residents, and families regarding required Medicaid application documents.
- Prepare, review, and organize Medicaid application packets to ensure completeness before submission.
- Maintain accurate electronic and paper files of all Medicaid Pending cases, ensuring compliance with company policy and HIPAA regulations.
- Help schedule and coordinate meetings, trainings, and conference calls related to Medicaid Pending accounts.
- Support the Medicaid Pending Compliance Manager in monitoring aging reports and identifying at-risk accounts.
- Communicate with Medicaid agencies, third-party vendors, and internal teams to obtain updates and resolve pending issues.
- Assist in generating regular reports and summaries of Medicaid Pending account statuses for leadership.
- Perform data entry, scanning, and document management tasks related to resident financial and application records.
- Stay informed of Medicaid process updates and contribute to the dissemination of information to facility teams.

- High school diploma or equivalent required; Associate's degree in Business, Healthcare Administration, or related field preferred.
- 5 years of experience in a SNF healthcare business office, Medicaid processing, and long-term care environment required.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and document management systems.
- Familiarity with billing or EMR systems such as PointClickCare is a plus.
- Strong attention to detail and ability to maintain confidentiality.
- Ability to work independently and collaboratively with remote and on-site teams.
- Strong analytical skills and attention to detail required
